Role Overview

A leading Dr Loaay Surgicare Clinic & Cosmetic Clinic located in Dubai Healthcare City — Al Razi Medical Complex is looking for a professional and patient-focused Receptionist / Patient Coordinator. This role will be the first point of contact for patients, ensuring a welcoming experience while managing appointments, coordinating care, and supporting clinic operations with professionalism and efficiency.

Front Desk and Patient Reception

Greet patients and manage front-desk operations by welcoming visitors warmly, checking in arrivals, creating a professional first impression, maintaining reception area cleanliness, and ensuring patients feel comfortable from the moment they enter the clinic.

Appointment Scheduling and Coordination

Schedule and coordinate appointments and procedures by managing doctor calendars, booking consultations and surgical procedures, confirming appointments via phone and SMS, optimizing scheduling efficiency, and ensuring smooth patient flow throughout the day.

Patient Inquiry and Communication Management

Handle patient inquiries, calls, and follow-ups by responding to questions about services and procedures, providing treatment information, addressing concerns professionally, maintaining regular communication, and ensuring patients receive timely responses.

Care Coordination

Coordinate between doctors, nurses, and patients by facilitating communication among medical staff, relaying important information, scheduling pre-operative consultations, arranging post-operative follow-ups, and ensuring seamless coordination of patient care.

Billing and Payment Processing

Manage billing, insurance verification, and payments by processing patient payments, verifying insurance coverage, obtaining pre-approvals, explaining costs and payment options, handling cash and card transactions, and maintaining accurate financial records.

Patient Records Management

Maintain accurate patient records in the system by entering patient information, updating medical histories, documenting appointments and procedures, ensuring data accuracy, maintaining confidentiality, and supporting efficient clinic record-keeping.

Patient Follow-Up and Engagement

Conduct patient follow-ups by confirming upcoming appointments, checking on post-procedure recovery, gathering feedback, addressing concerns, promoting additional services when appropriate, and maintaining ongoing patient relationships.

Sales and Patient Conversion Support

Support sales and patient conversion by understanding clinic services and procedures, identifying patient needs, presenting treatment options professionally, coordinating consultations, and contributing to clinic growth through excellent patient service.

Administrative Support

Provide administrative support by managing clinic correspondence, handling documentation, coordinating with suppliers, maintaining clinic supplies, and supporting overall clinic operations to ensure smooth daily functioning.

Professional Clinic Representation

Represent the clinic professionally by maintaining professional appearance, demonstrating positive attitude, providing excellent customer service, upholding clinic standards, and creating a welcoming environment that reflects the quality of care provided.

Medical/Aesthetic Clinic Experience

Previous experience in a medical center or aesthetic clinic is preferred. Your background should demonstrate understanding of medical office operations, patient care protocols, appointment scheduling, and healthcare reception responsibilities.
