Front Desk Operations: As a Receptionist, you will be the primary face of the company, maintaining a warm, professional, and polished presence at the front desk. You will welcome guests, guide them to the appropriate departments, and ensure that every visitor experiences a smooth and friendly interaction right from the moment they enter the office.
Client & Visitor Coordination: This role involves handling all incoming calls, emails, inquiries, and visitor check-ins with efficiency and accuracy. You will maintain a steady flow of communication between guests, staff, and departments, ensuring all inquiries are addressed promptly while projecting a polite and approachable demeanor at all times.
Administrative Support: You will manage a variety of daily administrative tasks including document filing, photocopying, printing, mail handling, and organizing office correspondence. You will help maintain office cleanliness, ensure meeting rooms are prepared, and support the operations team with day-to-day documentation and follow-ups to keep internal processes running smoothly.
Operations & FM Assistance: This position plays an essential role in supporting the facilities management (FM) operations by assisting with daily tasks related to TM/FM activities, AMC follow-ups, vendor coordination, material requests, and approval documentation. You will ensure that PPM schedules and reactive works are updated in CAFM, and prepare completion reports for various operational tasks.
Vendor & Security Liaison: You will maintain clear communication with building management, security teams, and external vendors to ensure smooth operations. This includes sorting vendor invoices, preparing payment documentation, tracking submissions, and assisting community managers with building-related updates while maintaining accurate operational records.
Helpdesk Support: You will be involved in managing the Helpdesk Hotline on rotation or as needed, logging service requests, escalating urgent issues to the relevant personnel, and ensuring that all cases are properly closed. This requires a calm, organized, and solution-driven mindset to support after-hours assistance when required.
