Job Description
Role Overview: The Order Processing Assistant plays a key role in ensuring smooth, accurate, and timely handling of daily orders within the company’s operational workflow. This position requires attention to detail, strong administrative abilities, and the capability to work effectively with internal teams to maintain seamless order movement from initiation to completion. The ideal candidate should be organized, proactive, and able to manage multiple tasks simultaneously in a fast-paced work environment.
Order Management: This responsibility includes managing day-to-day order processing activities with a high level of accuracy. The candidate must ensure all orders are entered correctly into the system, verified with required details, and processed according to company standards. Maintaining zero-error documentation and meeting daily processing deadlines are essential elements of this role.
Coordination with Internal Teams: The role involves close coordination with departments such as warehouse, logistics, operations, procurement, and customer service. The Order Processing Assistant ensures all departments receive timely updates related to order statuses, stock availability, delivery schedules, and any special requirements associated with the orders. Effective teamwork helps avoid delays and supports smooth operational flow.
Documentation & Reporting: The candidate is responsible for maintaining proper records of processed orders, invoices, delivery notes, and required reports. This includes updating internal systems, generating daily tracking sheets, and ensuring all documents comply with company procedures. Accurate documentation supports transparency, audits, and smooth workflow communication.
Customer & Department Communication: The Order Processing Assistant will communicate with clients for basic inquiries, confirmations, and updates regarding order progress. The role also requires coordinating with internal departments to clarify issues, resolve discrepancies, and ensure that all stakeholders receive timely and accurate information for smooth operations. Strong verbal and written communication skills are essential.
Technical Skills & System Handling: The role requires proficiency in SAP / ERP systems, along with strong skills in MS Office, particularly Excel. The candidate must have fast, accurate typing abilities and sharp data-entry skills to manage volumes of information. An understanding of operational workflows and documentation systems adds value to successful performance.
