Job Description

Role Overview – Schneider Electric is hiring an Order Management Specialist  for a full-time, on-site role based in Dubai, UAE. This position is ideal for detail-oriented operations professionals with strong customer service skills, order management expertise, and the ability to process customer orders, coordinate logistics, manage documentation, and support sales operations within a global energy management and automation technology company.

Order Processing and Management – You will process and manage customer orders by receiving and reviewing purchase orders, validating order details (pricing, product codes, quantities, delivery terms), entering orders into ERP/SAP systems accurately, confirming order acceptance to customers, managing order acknowledgments, and ensuring timely, accurate order processing for Schneider Electric products and solutions.

Customer Service and Communication – You will provide exceptional customer service and communication by responding to customer inquiries via email and phone, providing order status updates, addressing customer concerns, coordinating delivery schedules, managing customer expectations, communicating changes or delays proactively, and maintaining professional, responsive communication with customers and sales teams.

Order Validation and Documentation – You will validate orders and manage documentation by verifying pricing against quotations and price lists, checking credit limits and payment terms, confirming product availability, reviewing technical specifications, ensuring compliance with contract terms, validating shipping addresses and Incoterms, and maintaining accurate order documentation.

ERP/SAP System Operations – You will operate ERP/SAP systems by creating sales orders, processing order changes and cancellations, updating order status, managing delivery schedules, generating shipping documents, tracking order progress, maintaining customer master data, and ensuring accurate, complete system records.

Coordination with Sales Teams – You will coordinate with sales teams by supporting account managers and sales representatives, processing quotes and bids, managing special pricing approvals, coordinating contract orders, providing order status information, supporting sales initiatives, and ensuring seamless collaboration between sales and operations.

Product and Inventory Coordination – You will coordinate product availability and inventory by checking stock levels, coordinating with warehouse and logistics teams, managing backorders, communicating lead times, coordinating product allocations, managing stock reservations, and ensuring product availability aligns with customer commitments.

Shipping and Logistics Coordination – You will coordinate shipping and logistics by arranging shipments with freight forwarders and carriers, preparing shipping documentation (packing lists, delivery notes, commercial invoices), coordinating export documentation when required, tracking shipments, managing delivery schedules, and ensuring on-time delivery to customers.

Invoicing and Billing Support – You will support invoicing and billing by coordinating invoice generation, verifying billing accuracy, processing pro-forma invoices, managing pricing discrepancies, coordinating with finance on payment issues, resolving billing inquiries, and ensuring accurate, timely invoicing.

Order Change and Exception Management – You will manage order changes and exceptions by processing order modifications, coordinating urgent orders and expedited shipments, handling order cancellations and returns, managing pricing corrections, resolving order issues and discrepancies, and ensuring exceptions are handled promptly and professionally.

Customer Portal and Digital Systems – You will manage customer portal and digital systems by supporting online ordering platforms, coordinating customer access to portals, providing system support to customers, managing digital order submissions, and leveraging technology to enhance customer experience.

Reporting and Performance Tracking – You will prepare reports and track performance by monitoring order processing metrics (order cycle time, on-time delivery, order accuracy), generating order status reports, tracking backorders and pending orders, preparing management reports, and providing insights to support operational improvement.

Compliance and Documentation Management – You will ensure compliance and manage documentation by adhering to export control regulations when applicable, maintaining proper documentation for customs and shipping, ensuring compliance with company policies and procedures, managing regulatory requirements, and maintaining audit-ready records.

Cross-Functional Collaboration – You will collaborate across functions by coordinating with warehouse, logistics, finance, customer service, technical support, and product management teams, facilitating information sharing, resolving cross-functional issues, and ensuring integrated order-to-cash processes.

Customer Data and CRM Management – You will manage customer data by maintaining accurate customer information in CRM and ERP systems, updating contact details and shipping addresses, managing customer preferences, ensuring data quality, and supporting customer relationship management.

Continuous Improvement and Process Optimization – You will support continuous improvement by identifying process inefficiencies, recommending improvements, implementing best practices, participating in process optimization initiatives, and contributing to enhanced order processing efficiency and customer satisfaction.

Order Processing Experience – Prior experience as an Order Management Specialist, Order Management Specialist, Sales Coordinator, Customer Service Representative, or in a similar order processing and customer service role is required. Your background should demonstrate hands-on order management and customer support experience.

ERP/SAP System Proficiency (Mandatory) – Proficiency with ERP systems, particularly SAP, is mandatory. You should be experienced in creating sales orders, managing order data, navigating ERP modules, and utilizing enterprise systems for order processing and management.

Customer Service Excellence (Mandatory) – Excellent customer service skills and customer-focused approach are mandatory. You should be responsive, professional, patient, and committed to providing positive customer experiences and building customer satisfaction.

Communication Skills (Mandatory) – Excellent verbal and written communication skills in English are mandatory. You should be articulate, clear, and capable of communicating professionally with customers, sales teams, and internal stakeholders via email, phone, and other channels. Proficiency in Arabic is a strong advantage.

Attention to Detail and Accuracy (Mandatory) – Strong attention to detail and accuracy are critical for processing orders correctly, entering data accurately, verifying information, managing documentation, and ensuring error-free order processing and invoicing.

Organizational and Multitasking Abilities (Mandatory) – Strong organizational skills and ability to multitask are mandatory. You should be capable of managing multiple orders simultaneously, prioritizing workloads, meeting deadlines, handling high volumes during peak periods, and maintaining efficiency in a fast-paced environment.
