Job Description

Role Overview – Emirates Fire Fighting Equipment Factory LLC is hiring an HR Admin for a full-time, on-site role based in Sharjah, UAE. This position is ideal for organized, detail-oriented HR professionals with foundational HR administrative experience who can support recruitment, employee documentation, HR operations, visa processing, and day-to-day administrative activities within a manufacturing and industrial environment.

Recruitment and Hiring Support – You will support the recruitment process by posting job advertisements, screening CVs, coordinating interview schedules, communicating with candidates, maintaining recruitment trackers, and assisting hiring managers throughout the selection and offer process for factory, technical, and administrative staff.

Employee Onboarding and Offboarding – You will manage employee onboarding and offboarding by preparing employment contracts and documentation, coordinating induction programs, collecting required paperwork, processing resignations, conducting exit formalities, and ensuring smooth transitions for all joiners and leavers.

HR Documentation and Record Management – You will maintain accurate HR records by updating employee files, managing personnel databases, organizing contracts and agreements, tracking document expiry dates (passports, visas, labor cards, Emirates IDs), and ensuring all documentation is properly filed, accessible, and compliant with UAE labor law.

Visa and Immigration Processing – You will coordinate visa and immigration processes by liaising with PROs and government authorities (MOHRE, ICA), preparing visa applications, tracking visa statuses, managing renewals and cancellations, coordinating medical tests and Emirates ID processing, and ensuring all immigration activities are completed accurately and on time.

Payroll and Attendance Support – You will assist with payroll administration by collecting and verifying attendance data, coordinating with the payroll team or finance department, processing leave requests, managing timesheets, and ensuring accurate and timely payroll processing each month.

Employee Relations and Communication – You will support employee relations by responding to HR inquiries, assisting with policy clarifications, communicating HR announcements, maintaining open channels of communication, and serving as a point of contact for employee concerns, escalating issues to the HR Manager when necessary.

HR Policies and Compliance – You will support HR compliance by maintaining knowledge of UAE labor law, ensuring employee contracts and documentation adhere to legal requirements, coordinating health insurance enrollment, and assisting with labor inspections, audits, and regulatory submissions.

Training and Development Coordination – You will assist with training and development by coordinating training schedules (safety training, technical training, skills development), booking venues, preparing materials, tracking employee participation, maintaining training records, and supporting continuous learning initiatives.

Administrative HR Support – You will provide general administrative support to the HR department by managing calendars, preparing HR reports, drafting correspondence, organizing meetings, maintaining office supplies, and ensuring the HR function operates smoothly and efficiently.

HRIS and Documentation Systems – You will use HR information systems and documentation tools by maintaining employee data, generating reports, tracking key HR metrics (headcount, turnover, absenteeism), and ensuring all HR systems are updated accurately and in a timely manner.

Factory Workforce Coordination – You will support factory workforce coordination by assisting with shift scheduling coordination, managing blue-collar worker documentation, supporting labor camp administration (if applicable), and ensuring HR support is available for manufacturing and production teams.

Health and Safety Administration Support – You will support health and safety administration by maintaining safety training records, coordinating occupational health examinations, ensuring compliance with factory safety requirements, and assisting with workplace safety documentation.

HR Admin Experience – Prior experience as an HR Admin, HR Coordinator, HR Assistant, or in a similar HR support role is required. Your background should demonstrate foundational knowledge of HR operations, recruitment support, and employee administration.
