Job Description

Role Overview – Novomed is hiring a Front Office Specialist for a full-time, on-site role based in Dubai, UAE. This position is ideal for customer-focused healthcare professionals with strong administrative skills, excellent communication abilities, and experience managing patient reception, appointment coordination, and front desk operations within a medical center, clinic, or healthcare facility environment.

Patient Reception and Customer Service – You will provide exceptional patient reception and customer service by welcoming patients warmly and professionally, managing patient check-ins and registrations, verifying patient information, answering inquiries, providing directions and information, and ensuring every patient interaction reflects Novomed's commitment to patient-centered care and hospitality.

Appointment Scheduling and Coordination – You will manage appointment scheduling and coordination by booking patient appointments across multiple doctors and specialties, managing appointment calendars, confirming appointments via phone and SMS, handling appointment changes and cancellations, optimizing doctor schedules, and ensuring efficient patient flow throughout the clinic.

Patient Registration and Documentation – You will handle patient registration and documentation by collecting patient information, creating new patient records, updating existing records, verifying insurance details, maintaining accurate patient databases, and ensuring all documentation complies with healthcare privacy regulations and clinic standards.

Insurance Verification and Coordination – You will manage insurance verification and coordination by checking patient insurance eligibility, verifying coverage for procedures and consultations, obtaining pre-approvals when required, coordinating with insurance companies, processing insurance claims documentation, and assisting patients with insurance-related inquiries.

Billing and Payment Processing – You will handle billing and payment processing by generating invoices, processing patient payments (cash, card, insurance), issuing receipts, managing payment plans, following up on outstanding balances, reconciling daily cash and card transactions, and ensuring accurate financial transactions.

Medical Records Management – You will manage medical records and documentation by filing patient records, retrieving charts for doctor consultations, scanning and digitizing documents, maintaining confidentiality of patient information, ensuring HIPAA/data protection compliance, and coordinating with medical staff on record requests.

Patient Flow and Waiting Room Management – You will manage patient flow and waiting room operations by monitoring patient arrivals, informing doctors of patient readiness, managing waiting times, keeping patients informed of delays, maintaining waiting area cleanliness and comfort, and ensuring smooth, efficient clinic operations.
