Job Description

Role Overview – Smart Manpower is seeking an experienced Camp Admin to manage one of our client camps with multiple work sites in the UAE. This position requires excellent MS Excel skills, experience in camp and site supervision, and immediate availability. This role is ideal for administrative professionals who can oversee camp operations, maintain records, and supervise staff coordination across multiple locations.

Camp Operations Management – You will oversee day-to-day camp operations including managing accommodation facilities, coordinating meal services, maintaining camp facilities, ensuring cleanliness and hygiene standards, managing utilities and services, handling camp security, coordinating transportation, addressing resident needs, and ensuring smooth daily operations that support worker welfare and satisfaction.

Operational Records and Documentation – You will maintain operational records and reports using MS Excel including camp occupancy records, staff attendance registers, visitor logs, vehicle movement records, maintenance logs, expense tracking, inventory records, and various operational documentation. You will create organized spreadsheets, update records daily, and ensure accurate and current documentation.

MS Excel Data Management – You will demonstrate excellent working knowledge of MS Excel by creating and maintaining complex spreadsheets, using formulas and functions for calculations, creating pivot tables for data analysis, generating charts and graphs, formatting reports professionally, managing large datasets, performing data validation, creating automated templates, and leveraging Excel capabilities for efficient administrative operations.

Multi-Site Supervision – You will oversee operations across multiple work sites by coordinating with site supervisors, monitoring activities at different locations, ensuring consistent standards across sites, visiting work sites regularly, addressing site-specific issues, coordinating resources between locations, maintaining communication across sites, and managing multi-location operational challenges.

Staff Coordination and Supervision – You will supervise staff coordination across multiple locations including managing camp staff, housekeeping, security personnel, kitchen staff, maintenance workers, and drivers. You will assign duties, monitor performance, coordinate schedules, address staffing issues, ensure adequate coverage, and maintain effective staff coordination across all locations.

Attendance and Manpower Management – You will manage staff attendance and manpower records by tracking employee attendance across sites, maintaining time records, processing leave applications, coordinating shift schedules, managing manpower deployment, tracking labor hours, preparing attendance reports, and ensuring accurate manpower documentation for payroll and reporting.

Transportation Coordination – You will coordinate transportation logistics for workers including managing bus schedules, coordinating pickups and drop-offs at work sites, tracking vehicle movements, coordinating with drivers, ensuring timely transportation, handling transportation issues, maintaining vehicle logs, and ensuring workers reach work sites and return to camp safely and on time.

Facility Maintenance Coordination – You will coordinate camp facility maintenance including identifying maintenance needs, coordinating repairs and servicing, managing maintenance schedules, coordinating with contractors and service providers, tracking maintenance costs, ensuring facilities remain functional and safe, and maintaining proper maintenance documentation.

Inventory and Supply Management – You will manage camp inventory including food supplies, cleaning materials, bedding, utilities, and other consumables. You will track stock levels, coordinate procurement, manage suppliers, monitor usage, control costs, prevent wastage, maintain inventory records in Excel, and ensure adequate supplies for camp operations.

Reporting and Analytics – You will prepare operational reports including daily camp reports, occupancy reports, attendance summaries, expense reports, incident reports, maintenance logs, and management updates. You will analyze operational data, identify trends and issues, prepare visual reports using Excel charts, and provide management with comprehensive operational insights.
