Role Overview – MCT Group is hiring an Administrative Coordinator for a full-time, on-site position based in Dubai. This position is ideal for detail-oriented professionals with strong administrative skills, organizational capability, and the ability to provide comprehensive administrative support, manage office operations efficiently, coordinate team activities, maintain organized systems, and contribute to organizational productivity within a dynamic business environment.
Calendar and Schedule Management – You will manage executive and team calendars by scheduling meetings, coordinating time between multiple parties, and ensuring optimal calendar organization. You will confirm appointments, send meeting reminders, manage conflicting scheduling requests, and maintain accurate calendar records.
Administrative Support and Office Operations – You will provide comprehensive administrative support to teams and management by handling general office tasks, managing administrative workflows, and supporting smooth office operations. You will coordinate office activities, manage administrative processes, and ensure efficient daily operations.
Document and File Organization – You will maintain organized filing systems by organizing documents, maintaining file structures, and ensuring easy retrieval of information. You will manage both physical and digital files, ensure proper document storage, and support information management systems.
Correspondence and Email Management – You will manage correspondence including email, letters, and memoranda by organizing communications, filing documents appropriately, and supporting communication workflows. You will prioritize incoming correspondence and ensure timely routing to appropriate recipients.
Meeting Coordination and Support – You will coordinate meetings by preparing agendas, gathering materials, arranging facilities, and providing administrative support during meetings. You will arrange catering when required, ensure meeting rooms are prepared, and provide on-site support during meetings.
