Role Overview – Lariba Trading Company is seeking a highly organized and proactive Administrative Assistant with DMCC experience and 4 to 5 years of experience for a position in Dubai offering salary of AED 4,500 to 5,500. This role is ideal for administrative professionals who can provide comprehensive administrative, operational, and coordination support to ensure smooth office functioning.
Office Correspondence Management – You will manage correspondence including emails, phone calls, letters, and courier handling by responding to communications, directing inquiries, coordinating deliveries, maintaining professional correspondence, and ensuring timely, organized communication flow.
Filing System Management – You will organize and maintain physical and digital filing systems by implementing organized structures, categorizing documents, ensuring accessibility, managing document storage, and maintaining systems that support efficient information retrieval.
Data Entry and Document Management – You will handle data entry and document management by inputting information accurately, maintaining databases, organizing documentation, managing version control, and ensuring data integrity across office systems.
Scheduling and Calendar Management – You will schedule meetings, manage calendars, and coordinate travel arrangements by organizing appointments, avoiding conflicts, booking travel, coordinating logistics, and ensuring executives and teams operate on efficient schedules.
Office Supplies and Vendor Management – You will order and manage office supplies and liaise with vendors by monitoring inventory, placing orders, coordinating deliveries, managing supplier relationships, and ensuring the office has necessary resources.
Front Desk Support – You will provide front-desk support and handle basic inquiries by greeting visitors, answering phones, directing calls, responding to questions, and creating welcoming, professional first impressions.
Financial Administration – You will prepare, track, and file invoices, manage petty cash, and handle expense reimbursements by processing financial documents, tracking expenditures, reconciling petty cash, and supporting financial administration.
HR Record Maintenance – You will maintain employee records including contracts, attendance, and leave tracking by organizing HR files, updating employee information, tracking leave balances, and ensuring accurate, confidential personnel record-keeping.
Onboarding Support – You will support onboarding documentation for new hires by preparing employment paperwork, coordinating orientation logistics, distributing policies and guidelines, and facilitating smooth integration of new employees.
Report and Presentation Preparation – You will prepare reports, presentations, and official correspondence by compiling information, formatting documents professionally, creating presentations, and supporting management with quality documentation.
