Job Description

Role Overview – BM Delivery is seeking an Admin cum Operations Assistant for immediate joining. This position requires 1-2 years of UAE experience, strong coordination skills, and basic knowledge of MS Office. This role is ideal for administrative and operations professionals who can support both admin functions and operational activities.

Administrative Support – You will provide comprehensive administrative support including managing correspondence, preparing documents, handling paperwork, organizing files, maintaining records, coordinating office activities, supporting management with administrative tasks, processing documentation, and ensuring efficient administrative operations.

Operations Coordination – You will coordinate operations activities by supporting delivery operations, coordinating with drivers and delivery personnel, tracking shipments and deliveries, managing operational documentation, coordinating schedules, supporting logistics operations, handling operational inquiries, and facilitating smooth day-to-day operations.

Delivery Operations Support – You will support delivery operations by coordinating delivery schedules, tracking delivery status, communicating with customers on deliveries, managing delivery documentation including proof of deliveries (PODs), coordinating with drivers on routes and pickups, resolving delivery issues, and ensuring efficient delivery operations.

Coordination and Communication – You will demonstrate strong coordination skills by liaising between different departments, coordinating with drivers and field staff, communicating with customers and clients, coordinating with vendors and service providers, facilitating information flow, managing multiple stakeholders, and ensuring effective coordination across operations.

MS Office Applications – You will utilize basic knowledge of MS Office including creating and editing documents in Word, managing data and creating spreadsheets in Excel, handling emails and calendar management in Outlook, preparing basic presentations in PowerPoint when needed, and using MS Office applications for administrative and operational tasks.

Customer Service and Communication – You will handle customer inquiries and communication regarding deliveries and services, provide information on delivery status, address customer concerns, coordinate customer requests, maintain professional communication, respond to emails and calls promptly, and ensure positive customer service experiences.

Documentation and Record Keeping – You will manage documentation including delivery documents, operational records, administrative paperwork, invoices, receipts, and various operational documentation. You will maintain organized filing systems, ensure proper record-keeping, update databases, and keep records current and accessible.

Data Entry and Database Management – You will perform data entry tasks including entering delivery information, updating customer databases, maintaining operational records, inputting data into systems accurately, verifying data accuracy, organizing data systematically, and supporting data management activities.

Scheduling and Planning – You will support scheduling and planning activities including coordinating delivery schedules, managing driver schedules, organizing appointments, coordinating meetings, planning operational activities, managing calendars, and ensuring efficient scheduling across operations.

Inventory and Supply Coordination – You will coordinate inventory and supplies by tracking stock levels, coordinating procurement of office and operational supplies, managing stationery and materials, coordinating with suppliers, maintaining inventory records, and ensuring adequate supplies for smooth operations.

Reporting and Documentation – You will prepare operational and administrative reports including daily delivery reports, operational summaries, administrative documentation, performance summaries, and other reports required by management, ensuring accurate and timely reporting.

Problem Resolution – You will address administrative and operational issues by identifying problems, coordinating solutions, communicating with relevant parties, escalating issues when needed, following up on resolution, and supporting smooth problem-solving across admin and operations functions.

Vendor and Service Provider Coordination – You will coordinate with vendors, suppliers, service providers, and contractors, manage service requests, coordinate deliveries of supplies, handle vendor communications, process vendor invoices, and maintain effective vendor relationships.

Office Management Support – You will support office management by maintaining office organization, coordinating office maintenance, managing office facilities, coordinating with building management when needed, ensuring office cleanliness, and supporting general office administration.

UAE Experience Application – You will apply your 1-2 years of UAE experience by understanding local business practices, being familiar with UAE operational environments, knowing local regulations and procedures relevant to operations, understanding cultural context, and leveraging UAE work experience to perform effectively.
