Role Overview – Montreal Barsha Hotel is hiring a Reservation Officer for a full-time, on-site role based in Dubai, UAE. This position is ideal for detail-oriented hospitality professionals with strong reservation management skills, excellent communication abilities, and experience handling hotel bookings, guest inquiries, and reservation systems within a hotel or hospitality environment.
Reservation Management and Booking Processing – You will manage reservations and process bookings by handling room reservations via phone, email, and online booking platforms, entering accurate booking information into the property management system (PMS), confirming reservations, processing modifications and cancellations, and ensuring all bookings are recorded correctly and efficiently.
Guest Communication and Customer Service – You will provide exceptional guest communication and customer service by responding to reservation inquiries promptly and professionally, providing accurate information about room types, rates, hotel facilities, and services, addressing guest concerns, and ensuring positive pre-arrival experiences that reflect Montreal Barsha Hotel's hospitality standards.
Rate Management and Revenue Optimization – You will support rate management and revenue optimization by applying correct room rates and packages, implementing rate restrictions, managing availability, coordinating with the revenue management team on pricing strategies, upselling room upgrades and packages, and maximizing room revenue.
Group Bookings and Corporate Reservations – You will handle group bookings and corporate reservations by processing group allocations, coordinating with sales and events teams, managing room blocks, preparing rooming lists, processing corporate rate agreements, and ensuring accurate group booking management.
Online Booking Management – You will manage online bookings by monitoring reservations from OTAs (Online Travel Agencies) such as Booking.com, Expedia, Agoda, and direct booking channels, ensuring channel manager synchronization, updating availability and rates across platforms, and maintaining parity across all distribution channels.
Reservation Confirmations and Pre-Arrival Communication – You will send reservation confirmations and pre-arrival communication by preparing confirmation emails, providing check-in information, communicating special requests to relevant departments, confirming VIP arrivals, and ensuring guests receive all necessary information before arrival.
Special Requests and Guest Preferences – You will manage special requests and guest preferences by recording dietary requirements, bedding preferences, early check-in/late check-out requests, anniversary or birthday arrangements, and coordinating with housekeeping, F&B, and other departments to fulfill guest requests.
Payment Processing and Deposits – You will handle payment processing and deposits by collecting advance payments, processing credit card pre-authorizations, managing cancellation fees, coordinating with the finance team on payment reconciliation, and ensuring secure payment transactions.
Cancellations and No-Show Management – You will manage cancellations and no-shows by processing cancellation requests according to hotel policies, applying cancellation charges when applicable, updating room availability, tracking no-shows, and coordinating with front office on no-show procedures.
Property Management System (PMS) Operation – You will operate the property management system (PMS) such as Opera, OnQ, or similar hotel systems by creating and modifying reservations, generating reports, updating guest profiles, managing inventory, and ensuring accurate data entry and system maintenance.
