Job Description

Role Overview – Datum General Contracting is hiring a Document Controller cum Secretary for a full-time, on-site position based in Abu Dhabi. This position is ideal for organized professionals with strong administrative and document management expertise, construction and contracting industry knowledge, and the ability to manage combined document control and secretarial functions effectively, support organizational operations, maintain compliance, coordinate activities, and contribute to organizational success within a dynamic contracting organization.

Document Control Operations – You will manage document control operations by coordinating processes, organizing systems, maintaining standards, and supporting efficiency. You will oversee comprehensive document management supporting organizational objectives. You should manage document control operations professionally and systematically.

Document Management Systems – You will manage document systems by organizing procedures, implementing controls, creating workflows, and maintaining accessibility. You will establish organized, efficient document management. You should develop document management systems.

Filing and Organization – You will organize filing systems by establishing structures, implementing standards, maintaining organization, and supporting retrieval. You will enable efficient document access and management. You should organize filing systems effectively.

Document Receipt and Registration – You will oversee document receiving by logging documents, assigning numbers, entering information, and tracking flow. You will maintain receipt records and proper organization. You should manage receiving procedures.

Version Control and Revisions – You will manage document versions by tracking changes, controlling revisions, maintaining version history, and preventing outdated use. You will ensure current documents are used. You should implement version control.

Document Distribution and Tracking – You will manage document distribution by maintaining lists, tracking recipients, coordinating circulation, and maintaining records. You will ensure appropriate distribution and accountability. You should manage distribution systematically.

Compliance and Standards – You will ensure compliance by verifying standards, checking completeness, maintaining requirements, and supporting audits. You will maintain standards-compliant documentation. You should verify compliance rigorously.

Drawing and Specification Management – You will manage drawings and specifications by organizing files, maintaining versions, coordinating distribution, and supporting accuracy. You will support construction documentation. You should manage technical drawings.
