Job Description

Role Overview – APCC Piling & Marine Contracting LLC OPC is hiring a Document Controller for a full-time, on-site position based in Abu Dhabi. This position is ideal for detail-oriented professionals with strong documentation management expertise, construction project knowledge, and the ability to manage document control systems effectively, maintain technical documentation, coordinate drawing management, ensure regulatory compliance, and support project delivery excellence within a dynamic piling and marine contracting environment.

Document Control System Management – You will manage comprehensive document control systems by implementing procedures, maintaining databases, and ensuring proper documentation practices. You will coordinate document storage, manage version control, support efficient document retrieval, and maintain system integrity. You will establish document control standards and support consistent application across projects.

Technical Drawing and Blueprint Management – You will manage technical drawings and construction blueprints by organizing files, maintaining drawing registers, and controlling drawing distribution. You will coordinate drawing updates, track drawing revisions, manage drawing archives, and prevent use of obsolete drawings. You will support drawing management across piling and marine projects.

Specification Document Organization – You will organize specification documents by maintaining specification files, coordinating specification updates, and ensuring specifications remain current. You will support specification management, coordinate specification revisions, and ensure appropriate specification distribution to project teams.

Drawing Registration and Numbering – You will register drawings in document control systems by assigning drawing numbers, creating drawing registers, and maintaining drawing indexes. You will track drawing status, manage drawing identification, and support drawing retrieval through proper numbering systems.

Document Receipt and Processing – You will receive incoming documents by registering them in document control systems, assigning document numbers, and maintaining document logs. You will verify document completeness, ensure proper categorization, and track document entry into management systems.

Version Control and Change Management – You will manage document versions by maintaining current versions, archiving superseded versions, and controlling version changes. You will track version history, prevent distribution of obsolete documents, and ensure document currency. You will coordinate change orders and modification management.

Project Documentation Coordination – You will coordinate project-specific documentation by organizing project files, maintaining project records, and supporting document management across project lifecycle. You will establish project-specific filing systems and manage multi-phase project documentation.

Submittals and Approval Coordination – You will coordinate submittals by organizing submittal documentation, scheduling reviews, and tracking approval status. You will maintain submittal registers, coordinate client approvals, and manage submittal distribution. You will track submittal timeline compliance.

Contract and Agreement Organization – You will organize project contracts and agreements by maintaining contract files, tracking contract terms, and supporting contract management. You will manage contract documentation accessibility and maintain organized contract records supporting project execution.

Compliance and Regulatory Documentation – You will maintain compliance documentation including regulatory filings, permits, certifications, and compliance records. You will organize compliance files, track compliance status, and ensure compliance documentation completeness for regulatory requirements.

Safety Documentation Management – You will maintain safety documentation including safety plans, incident reports, and safety certifications. You will organize safety records, support safety compliance documentation, and coordinate safety-related paperwork with project teams.

Correspondence Management – You will manage project correspondence by organizing letters, emails, and communications appropriately. You will maintain correspondence files, support easy correspondence retrieval, and organize communication records systematically.

Piling and Marine Documentation Expertise – You will develop expertise in piling and marine contracting documentation by understanding project requirements, technical specifications, and industry-specific documentation standards. You will learn marine contract documents, piling methodology records, and maritime compliance requirements.

Document Indexing and Cataloging – You will index and catalog documents by creating comprehensive document indexes, maintaining document catalogs, and organizing filing systems. You will ensure documents are easily locatable and properly categorized for efficient retrieval.

Database Maintenance and Updates – You will maintain document databases by updating records, ensuring data accuracy, and organizing information systematically. You will keep databases current, verify information integrity, and support efficient document tracking systems.

Access Control and Security – You will manage document access by controlling distribution, maintaining security protocols, and protecting sensitive documents. You should ensure appropriate access levels, support document security requirements, and restrict unauthorized document access.

Record Retention Management – You will manage document retention by ensuring documents are retained according to legal requirements, disposing of documents appropriately, and maintaining retention schedules. You should understand retention requirements and comply with disposal procedures.

Stakeholder Communication and Coordination – You will communicate with project teams, management, and other stakeholders regarding documentation status and requirements. You will facilitate effective communication and support collaborative document management across project teams.

Training and Procedure Support – You will support document management training by explaining document control procedures, assisting team members with documentation requirements, and providing guidance on documentation standards. You should promote understanding of document control systems.

Multi-Project Document Coordination – You will coordinate documentation across multiple concurrent projects by managing project-specific files, maintaining separate project records, and organizing multi-project documentation. You should support efficient document management across project portfolio.

Quality Assurance and Compliance Verification – You will ensure document quality by verifying completeness, checking for errors, and ensuring compliance with documentation standards. You should maintain high documentation standards and identify quality issues affecting project delivery.

Audit Support and Compliance Documentation – You will support audits by preparing documentation, organizing audit records, and responding to audit inquiries. You should maintain proper audit trails and support compliance verification for regulatory or client audits.

Filing System Organization and Maintenance – You will organize filing systems by maintaining file structures, ensuring proper document storage, and supporting easy retrieval. You should create organized systems, maintain filing standards, and optimize storage efficiency.

Continuous Process Improvement – You will identify opportunities to improve document management processes, suggest efficiency enhancements, and support implementation of improvements. You should contribute to organizational learning regarding document control best practices in marine and piling contracting.


Document Control Experience (Mandatory) – Proven experience as a Document Controller, Records Manager, or in similar document management role is mandatory. Your background should demonstrate competency in document control systems, version management, and document organization in professional environments.

Document Management Systems Knowledge (Mandatory) – Strong knowledge of document management systems, document control procedures, and best practices is mandatory. You should understand document management principles, control procedures, and industry standards for document handling.

Technical Drawing Knowledge (Mandatory) – Understanding of technical drawings, construction drawings, and drawing management is mandatory. You should be familiar with CAD drawings, construction blueprints, and engineering documentation.

Compliance and Regulatory Knowledge (Mandatory) – Knowledge of compliance requirements, regulatory documentation, and record retention standards is mandatory. You should understand regulatory obligations and compliance documentation needs.

Computer Proficiency (Mandatory) – Competent use of computers, office software, database systems, and document management software is mandatory. You should be comfortable learning specialized document control systems.

Language Proficiency (Mandatory) – Fluent English is mandatory. Arabic language proficiency is desirable for communication with Arabic-speaking team members and stakeholders in Abu Dhabi.

Attention to Detail (Mandatory) – Exceptional attention to detail is mandatory in document control work. You should catch documentation errors, verify accuracy, and maintain precision in all document activities.

Educational Background (Mandatory) – A high school diploma or equivalent is mandatory. Some training in document management, records management, or office administration is preferred but not required.

UAE/Abu Dhabi Experience (Mandatory) – Previous document control experience in the UAE or Abu Dhabi is mandatory, as understanding of local business practices and regulatory environment is essential for effective performance.

Construction Industry Experience (Mandatory) – Demonstrated experience managing construction documentation, technical drawings, or construction project documentation is mandatory. You should understand construction document requirements and project delivery processes.

Marine or Piling Contracting Experience (Preferred) – Previous experience in marine contracting, piling projects, offshore construction, or related marine industries is preferred and demonstrates sector-specific knowledge.

Project Management Documentation (Preferred) – Experience coordinating project documentation or supporting project management is preferred.

CAD or Drawing Management Tools (Preferred) – Familiarity with CAD systems or drawing management software is preferred.

Database Management Systems (Preferred) – Experience with database systems or document management software is preferred.

Compliance Documentation (Preferred) – Experience organizing compliance documentation or maintaining regulatory records is preferred.

Drawing Register Management (Preferred) – Experience maintaining drawing registers, managing revisions, or controlling engineering documents is preferred.

Microsoft Office Proficiency (Mandatory) – Good proficiency with Microsoft Word, Excel, and Outlook is mandatory for document management and coordination.

Excel Skills (Mandatory) – Ability to maintain spreadsheets, create document indexes, and manage data in Excel is mandatory for document tracking and reporting.
